What is Retrieve from Shelf?

  • Retrieve from Shelf is a service KU Libraries provides where library staff pull library materials from the shelf and place them on hold at the KU Libraries Service Desk location of your choice.

Who is eligible to use Retrieve from Shelf?

  • Anyone who is affiliated with the University of Kansas with the exception of Resident Borrowers is eligible for Retrieve from Shelf. Resident Borrowers may ONLY use Retrieve from Shelf when requesting materials from the KU Libraries Annex.

What items are eligible for Retrieve from Shelf?

  • Books
  • Some bound journals
  • Some micro format materials
  • DVDs and VCRs
  • Music Scores
  • Theses and Dissertations
  • Maps after 1964
  • Annex materials

What library materials are not eligible for TripSaver?

  • Any materials from Kenneth Spencer Research Library, University Archives, and the Regional History and Rare Books and Manuscripts library.
  • Sound recordings (CDs, LPs)
  • Maps before 1964
  • Reserve materials
  • Reference materials
  • Short-term Loan Items (2 weeks or less) with the exception of DVDs and VCRs.

Where are "Retrieve from Shelf" items delivered?

  • Materials are delivered to the KU Libraries Service Desk of your choice.

How will I be notified when my materials are available for pick up?

  • You will receive an Item Available Notice via email letting you know you can pick up your materials from the KU Libraries Service Desk you chose as a pick up location.

  • NOTE: Items will remain on the hold shelf for 10 days from the day that you received your Item Available Notice and then will be taken off and returned to the library stacks.

How long will it take to receive my "Retrieve from Shelf" items?

  • Retrieve from Shelf materials should be available to you within three working days. Turnaround time excludes weekends and university holidays.

Is there a limit on the number of items I can request from Retrieve from Shelf?

  • No, but the library staff have the right to process no more than ten items per person per day when there is a heavy demand for Retrieve from Shelf.

How do I place a Retrieve from Shelf request?

  • 1. First look up the item in KU Libraries Library Catalog.
  • 2. Once your have found the record for the item, click on "Recalls and Requests" button at the top of the web page.
  • 3. Login using your KU username and password (as in your KU email account).
  • 4. Select Retrieve from Shelf from the drop down menu and click OK.
  • 5. Complete the form and select the pick up location of your choice and submit.

What are my options if I received a cancellation notice?

  • If you received a cancellation notice that stated item was not found on shelf, please go to WebRetrieve and select the "Request a Loan - Not Available at KU" option.
