Conference Rooms and Booking Policies

KU Libraries provide a variety of spaces for meetings, study, and instruction.
Policies and booking procedures differ slightly among library locations.

  • Watson and Anschutz Libraries follow similar room reservation rules.
  • Art and Music Libraries have limited facilities and operate under less restrictive policies, approved by their service managers.
  • Spencer Research Library maintains its own unique policies (see the Spencer Library website for details).
  • Instructional spaces are scheduled separately by the Building Operations Managers and in accordance with Instruction Room Use Policy.

Guidlines

Group Rooms

Group rooms seat 1–10 people and are self-reserved online by KU students and staff.

  • In Anschutz Library, some rooms are reserved during weekdays for tutoring sessions hosted by Wingspan and other Student Success partners.
  • The rooms in the Art and Music Libraries follow this same reservation process.
  • Zoom rooms and small meeting rooms in Watson for library staff are booked through the regular Outlook calendaring system.

Anschutz offers two larger reservable spaces:

  • Room 305
  • 3 North

These rooms are booked by the building operations manager.
When not reserved, they are open for student study or group work.

Watson Library has four group meeting spaces available for KU Libraries events and for use by other University groups.

Guidelines

  • No charge for use.
  • Users handle their own setup and teardown.
  • New users must meet with the Watson Operations Manager in advance to review room setup and AV systems.
  • First-come, first-served reservations.
  • Reservations must be made at least 48 hours in advance and cannot extend beyond the current academic year.
  • Library events take priority.
    • If an existing reservation must be canceled for a library event, at least two weeks’ notice will be provided.
  • No time limits on reservations—early booking is encouraged.
  • Events must occur within Watson Library’s open hours (503A is limited to office hours).
  • Catering must be provided by approved campus services (no potlucks).
  • Library staff reserve spaces (except 3 West) through the normal calendaring system.

The Libraries manage two instructional computer labs:

  • Watson Clark Instruction Center
  • Anschutz Instruction Center

Both are flexible learning environments equipped with advanced AV technology.
They are prioritized for library-delivered instruction according to the existing Instruction Room Use Policy.

Reservations for these spaces are coordinated through the Library Operations Managers.
